You've probably heard that if you want to have a reliable email service with Google then it might be worth using their own servers instead of POP or IMAP services. This is because they're more secure than other methods. It also means that any problems with spam filtering will affect all your accounts at once rather than just one account. You may even need an extra step when sending emails from your website to make sure everything works as expected.
If this sounds like something you'd like to try out, here's how to add Gmail support to your WordPress site so you can start receiving incoming mail via your domain without paying anything!
As well as being able to receive emails through a POP3/IMAP4 connection, you'll also be able to use the Send As feature within WordPress itself to send your emails yourself. If you don't know how to configure these settings already, we show you exactly where to look in the next section.
The first thing you should check is whether there's actually a way to change which SMTP (or "Simple Mail Transfer Protocol") server you connect to. These days many providers offer both POP3 and IMAP access, while others only allow connections over SSL. So before you choose to switch off POP3 or SMTP altogether, take a moment to see if changing this setting could help.
To find your Gmail SMTP server IP address, open up Gmail in your web browser. On the left-hand side under Settings click Advanced Options. In the box labelled Server select Other... (you'll still need to enter your login details). Next click Change. Now copy the SMTP server IP address listed underneath Hostname - this will usually end in.smtpd.net. Finally, paste this into whatever hosting panel you're using to manage your site, such as cPanel or Plesk.
Now that you know how to find your Gmail SMTP server, let's move onto configuring it properly.
Probably not. While most people think they're the same, they aren't. The purpose of the SMTP authentication method used by Gmail is to ensure that messages sent from your computer are genuine and not coming from someone else who has hacked into your inbox.
This is why you'll often see instructions telling you to create a new password specifically for your Google Account but leave the old POP3 and IMAP passwords unchanged. If you haven't changed them yet, now would be a good time to go ahead and log in again. Once logged in, head back to the Gmail page and click Save Changes. Then close the window and refresh the page. From here you can test the connection to make sure it's working correctly.

Unfortunately Apple won't tell us the exact location of your SMTP credentials, though some users report finding them hidden inside the Notes app. However, if you search around long enough you'll eventually stumble across the answer. For example, after checking every corner of each iPhone model, I finally found mine tucked away neatly behind the Contacts tab.
It took me about ten minutes of searching until I realized that tapping the little arrow icon beside Contacts would reveal a list of options including Add Contact, Edit Address Book, Remove Contact and Delete. Scrolling down past the contacts themselves reveals a tiny blue dot next to the word Phone followed by three letters. Tap the letter 'p' and voila! Your SMTP password appears in plain text beneath the phone number you entered previously.
If you don't care about security, simply scroll right beyond the contact information and tap the button marked More Info. This brings up the option for viewing notes stored locally, which includes the current password to your account. Unfortunately, you can't edit this directly, but you can type a different password into the field above. Hopefully this will work.
Don't forget that the same steps apply to Android devices too, although you'll need to download a third party application called NotePass to view your data.
We've looked at how to find your email username and password for the entire web, but perhaps you only ever use Gmail for personal communication. If this is the case, you'll be able to locate your Gmail username by opening a private message thread between two Gmail addresses. Click Reply and you should immediately see an auto-populated Username field.
Alternatively, you can always ask your recipient to provide their own username (if they wish) but remember that the less effort you put into communicating online the better. After all, you can't expect anyone to trust you completely if you keep asking questions about your email identity!

Gmail SMTP
The Email Address Field in most browsers has been replaced by something called "Address Formats". The new address format makes it possible to type addresses without having to click into text boxes, but it isn't compatible with many older web apps.
If you don't know which field to use, try typing in your full e-mail address such as [email protected]com (without brackets), followed by @gmail.com and press Enter.
Now you should see a box appear underlined with "Your Full Name" below. Just enter your name and hit Return. If you'd like to change this, go back to Settings - Preferences - Account info and edit it there.

If this sounds familiar, then you probably already have some sort of account with either SendGrid (Sendgrid) or Mailgun (Mailgun). Both companies offer similar features at competitive prices but they each require their own unique credentials to connect to Gmail’s SMTP server. If you don't know which company your web host uses, you might be able to figure it out by looking through its documentation or contacting support staff. However, both options aren’t always easy to track down.

To make sure you have access to your Gmail SMTP settings, open your Gmail Web app and click Settings & Accounts " Your Account. Click Sign In & Security under Personal Options and scroll down until you see the section titled Enable less secure apps. Checkmark the box next to Allow less secure sign‐in for sites you trust. Then enter your current password and hit Save Changes.
You'll now see a new option appear near the top of your screen labeled Manage less secure apps. To verify whether or not you currently have permission to log into Gmail with your SMTP info, check the box next to Get mail notifications. The page will refresh and display a message letting you know that you can proceed. Once you have verified that you are indeed signed in successfully, close the window and return back to your inbox. Next time you attempt to send a test email via the Gmail SMTP server, you'll receive an error informing you that the recipient requires authentication.

Before you begin setting up your Gmail SMTP server, you first need to identify where your SMTP server is located. For example, if you use Bluehost, your SMTP server could be listed as bluehost.net. Alternatively, if you're hosting your blog elsewhere, such as DreamHost or Hostgator, your SMTP server may be different than the domain name itself.
To determine exactly where your SMTP server is hosted, head over to the same place where you purchased your hosting plan and look for something called cPanel. Open cPanel and navigate to Server Configuration > Services > MySQL/MariaDB. Find “MySQL Port Number" and double-check that the number matches the location of your SMTP server.
Now, let's jump ahead just a bit and explain why knowing these things is useful. When it comes to connecting your website to Gmail's servers, you need two pieces of information—your SMTP server IP address and your SMTP user name. Unfortunately, neither of those values change depending on who hosts your site. So, even though you may only use Gmail once per month, it doesn't mean you won’t ever need to visit Gmail again later in life.
With that said, having a solid understanding of how to find your SMTP server IP address will come in handy whenever you decide to switch providers or upgrade to a more advanced hosting package. Also, keep in mind that your SMTP server is likely shared among multiple users and therefore it will show up differently depending on your ISP provider.
As previously mentioned, finding your SMTP server IP address isn't necessarily difficult. Just head over to the same place where you bought your hosting plan and search for something like MySqlPort. That's usually enough to give you a pretty good idea of your SMTP server IP address.
Next, you'll need to remember the corresponding SMTP username associated with your newly identified SMTP server. Again, this value changes frequently depending on your hosting provider, but hopefully your ISP will provide you with whatever you need. Otherwise, it shouldn't be too hard to locate the correct information once you understand the process.

Lastly, if you'd prefer to avoid using your SMTP username altogether, you can always add a custom header named X-SMTP-Username to every outgoing e-mail sent from your WordPress site. Doing so allows recipients to view the sender's actual name instead of assuming it came from your website.
Unfortunately, this approach works best for large lists of people rather than individual contacts because it would increase the overall size of your e-mails dramatically. Plus, it takes away the ability to personalize your messages based on someone's interests or preferences. Still, if you think this solution is worth considering, feel free to try it out!
In case you forget your password, or simply wish to update your settings, you can easily fix this issue yourself. After logging into your Gmail account, go to Settings & Accounts " Your Account. Scroll down until you reach the Manage less secure apps link. Under the heading Accessing Apps Without Verifying Identities, select Change Password. Enter your old password and follow the steps provided. From there, enter your new password twice and confirm the final entry.
Once you complete the entire process, you'll automatically be logged back into Gmail and ready to continue. Keep in mind, however, that doing this will prevent anyone else from accessing your Gmail account without proper verification. Therefore, you should only perform this action if you absolutely cannot recall your password.
For many years, Gmail used the default port 587 to connect to its SMTP servers. While this was fine during the early days of internet communication, it became outdated long ago. Today, nearly everyone uses SSL encryption to protect sensitive data whenever possible. And since the majority of websites use HTTPS nowadays, port 587 no longer offers adequate security.
Instead, Gmail switched to port 25 around 2011 and has been using this protocol ever since. Although the exact reason behind this decision remains unclear, it's widely believed that Google made the move due to increased spam activity. By switching to port 25, Gmail avoided becoming another victim of spammers' efforts.
While moving to SSL encryption is certainly preferable, it's still possible to use port 587 today. All you need to do is install the Gmail Connector plugin for WordPress and change the port settings within the configuration panel. Simply choose port 465 from the dropdown menu and you'll be good to go.

You've probably heard of Google or Microsoft Exchange being used by companies to send out newsletters and other communications. But have you ever wondered where that data actually goes? Well it all depends on which service you use - whether it be Outlook, Office 365 (formerly MSN) or even Gmail!
In this article we'll look at some ways you can configure your account with a different provider so you can start sending emails from your website without any hassle. Before you begin changing your SMTP settings, make sure you already have an active account with whichever mail provider you intend to switch too. If you don't yet have one, sign up now and keep reading below.
Once you have signed into your chosen mail client, go to Settings " Accounts & Import " Add Account.... Then choose Other Mail Provider and click Next. Enter your name and e-mail address and press Continue when done.
Next, select either IMAP or POP3 depending on which type of connection you need to use. The option should appear automatically under Internet Protocol Version 4 (IPv4). Choose Yes, Allow access to my existing network resources and enter your username and password when asked.
Then confirm your choice by clicking Finish. Your new account will now display in the list above. Click Close after selecting OK.
Now you just need to remember what your SMTP username and password was before switching services. It's usually something simple like username@domainname.com or similar, although in some cases they could include characters such as @ or #. These can vary between providers and sometimes require special symbols instead. For example, many ISPs offer their own domain names rather than simply giving customers the ability to register domains themselves. So if yours does, try looking online to see exactly what it means.
Alternatively, you may have been able to set them up yourself during initial registration. In most cases though, you won't find anything obvious because the default options were likely selected when creating the account. To double-check your settings, head back to your original mail provider and log in again with the same credentials. When prompted, select Show passwords to verify those details.
So far, everything has gone smoothly. Now let's move onto configuring the connection through your preferred app.
The first thing you need to decide is whether you wish to connect via POP3 or IMAP. Both methods allow you to retrieve messages sent to your inbox offline, while others only work over the internet.
POP3 works best for users who receive large amounts of mail every day. They download each message individually to their computer, making it easy to spot duplicates or missing items. However, you must manually delete old messages once downloaded.
IMAP allows you to save all incoming messages in your inbox until you're ready to view them. Plus, they're immediately available whenever you open your browser.
To use either method, you'll need to visit the relevant page within your webmail application to complete the process. Most popular apps provide instructions alongside the login screen. Some even give you an alternative URL for extra help.
For example, Gmail offers both instructions and two URLs:
Using the former requires entering your username and password, followed by Enable IMAP. After confirming your decision, you'll soon notice a green tick appearing next to your account's name in the top right corner. That's confirmation that you're connected successfully.
With POP3, you can skip straight to Enable POP3. Otherwise proceed directly to Logging Into My Computer. Once logged in, you'll be given a link to copy down for future reference. Remember this code when connecting to your new service later.
Remember that these codes differ slightly between applications. Be sure to follow the exact steps outlined above, otherwise you risk losing important data. Don't worry if you forget your username and password – luckily there are plenty of alternatives listed further down the page.
No, they aren't. While your password for your main e-mail account should be strong enough to protect against hackers trying to gain entry, it doesn't mean much if someone else knows it. Therefore, it's always wise to create separate usernames and passwords specifically for your SMTP accounts.
As mentioned previously, Gmail provides two separate sets of instructions. One covers POP3, while the other deals exclusively with IMAP. Either way, you'll need to ensure you pick the correct ones based on the type of account you currently have.
When logging into your new service, you need to repeat the procedure described earlier. Selecting the appropriate method and copying down the necessary information ensures you avoid repeating mistakes. Keep in mind that you still need to create unique usernames for each account.
Also note that some websites will ask you to retype your user ID and password for additional security measures, especially if you haven't visited the site recently.
Gmail uses its own version of POP3 called Simple Mail Transfer Protocol (SMTP), allowing you to send and receive emails. As the name suggests, it's simpler than regular POP3 and relies solely on HTTP connections to transmit your mails.
This makes it ideal for mobile devices since it doesn't rely on downloading entire files in order to function properly. Instead, it sends small chunks of data over the internet, leaving your device charged overnight.
However, this comes at the cost of reliability. Because SMTP isn't reliable, you shouldn't expect any guarantee of delivery times whatsoever. Also worth noting is that Gmail often rejects incorrect addresses due to issues with SPF records. This prevents spammers from spoofing legitimate sites' IPs.
Because of this, you're better off sticking to POP3 for your primary e-mails. Although it's less secure, it's easier to use and also saves valuable space on your phone's memory.
Finally, remember that Gmail supports multiple languages for your labels. By adding a language prefix to the label, you can customize the results displayed on your homepage. Simply add the following string anywhere inside square brackets: [lang="en"] to specify English text.
